As a Sales Assistant you will need a highly organized and detail-oriented focus on enabling our sales and events team to achieve fair count growth goals. This position is responsible for efficiently managing the lead conversion process, handling Memos of Understanding (MOUs), and coordinating vendor agreements. The Sales Assistant will have excellent communication skills, strong attention to detail, and the ability to work in a fast-paced environment while collaborating with sales leaders and sales representatives.

RESPONSIBILITIES
Lead Conversion
Lead Management and Conversion: Efficiently manage the open lead queue in Salesforce by filtering and identifying leads that align with our target markets, enrollment, and grade ranges. Convert and assign these leads to sales representatives specialized in those markets.
Lead Verification and Distribution: Verify additional information for leads when necessary, especially those that fall outside our serviceable markets or grade ranges. Forward out-of-market leads to the designated contact for appropriate action.
Salesforce Case Management for New Accounts: Create and manage Salesforce service cases for schools within our market but without existing accounts, ensuring prompt attention to potential customers’ needs.
Outbound Communication: May involve placing outbound calls to gather additional information required for advancing the lead conversion process.
MOU’s
Opportunity Queue Management: Regularly review the book fair opportunity queue to monitor the current status and progress of each opportunity through its various stages.
Stakeholder Interaction: Engage with representatives and customers to advance opportunities to the next stage, facilitating a smoother booking process.
Documentation and Communication: Ensure accurate documentation and maintain effective communication throughout the opportunity signing process.
MOU Verification and Customer Outreach: Verify the accuracy of Memorandums of Understanding (MOUs) sent to schools and conduct customer outreach as needed to secure agreement signings via DocuSign.
Vendor Agreements
Vendor Approval Process Familiarization: Acquire a thorough understanding of the vendor approval procedures of various school districts.
Information Gathering: Collect necessary forms and details (e.g., PDF forms, purchasing website information) from sales representatives via Salesforce.
Vendor Request Queue Management: Organize and track vendor approval requests within Salesforce to maintain order and efficiency.
Form Completion and Registration: Fill out required PDF forms, register on vendor portals, and apply for bids using our vendor information.
Follow-Up Communications: Conduct follow-ups with school districts through email and phone calls to expedite the approval process and ensure accuracy.
Stakeholder Updates: Communicate the status of vendor agreements through Salesforce to keep all stakeholders informed.
Prospecting and Alternative Approaches: Actively prospect targeted school districts to facilitate the approval process and explore alternative avenues for approval when necessary.
QUALIFICATIONS
Bachelor’s degree OR equivalent experience in business administration, sales, or a related field.
Strong organization skills with meticulous attention to detail.
Excellent written and verbal communication skills.
Proficiency in Salesforce or similar CRM software preferred.
Familiarity with document management systems such as DocuSign.
Knowledge of Adobe Acrobat is a plus.
Ability to multitask and prioritize tasks effectively in a fast-paced environment.
Demonstrated ability to work independently and collaboratively on a team.
Experience with bids, proposals, and/or RFP’s is a bonus.
